In this Notice, the following terms shall have the following meanings:
"Account": means, where applicable, the personal information and credentials used to register and/or access any Service in the Platform; ;
"Cookie": means a small text file placed on your computer by the ITA when you visit certain parts of the forum.ita.sport website . This allows us to identify recurring visitors and to analyse their browsing habits within the website;
"International Testing Agency (ITA)": means the International Testing Agency, with its registered office in Avenue de Rhodanie 40B, 1007 Lausanne, Switzerland;
“Online Forum” means the ITA DCO & BCO International Forum organized by the International Testing Agency, including all related registration processes, communications, and live sessions;
“Personal data” means any information relating to an individual who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that individual;
"Service": means collectively any online facilities, tools, services or information (including training courses, and other educational materials) that the ITA makes available through the Platform;
"System": means any online communications infrastructure that the ITA makes available through the Platform. This includes Zoom Chat and live Q&A panel;
"Website": means the website that you are currently using (forum.ita.sport) and any sub-domains of this site unless expressly excluded by their own terms and conditions.
This Notice is governed by and interpreted in accordance with the following data protection laws:
- The European Union General Data Protection Regulation (Regulation (EU) 2016/679) —referred to as the “GDPR”
- The Swiss Federal Act on Data Protection of 25 September 2020 (SR 235.1) — referred to as the “FADP”
Where applicable, references to “Applicable Laws” in this Notice shall mean the GDPR and/or FADP.
We will collect Personal Data from you when you register to and attend at any training provided through the Platform and automatically through our use of Cookies.
- Identification Data: Full name, gender, date of birth, occupation/profession, account names and associated passwords;
- Professional and Employment-Related Information: such as information about your current employer;
- Contact Data: Email address, phone number;
- Event Participation Data: Information related to your participation in any training organised by the ITA and delivered through the Platform, including session selections and attendance records;
- Payment Data: Credit/debit card information (processed securely via third-party payment processors);
- Technical Data: IP address, browser type and version, operating system;
- Usage Data: Course activity, session selections, attendance and participation in online sessions , session duration.
- Communication content: any other information you may provide in your communications with us;
- Cookie Data: Cookies are small text files stored on your device when you visit our platform. They help us remember your preferences, improve your user experience, and analyse how you interact with our website (for example, which pages you visit or how long you stay on a page).
We process your personal data only where permitted by Applicable Laws, including under the following legal bases:
- Performance of a contract (e.g., managing your registration and participation in the trainings, including session selection, providing course access or processing payments based on your request to conduct a course)
- Compliance with legal obligations (e.g., tax, financial regulations)
- Legitimate interests (e.g., ensuring platform security, organizing and improving content, facilitating participants’ experience), provided that your personal interests or fundamental rights do not override the abovementioned interests;
- Consent (e.g., for receiving promotional materials, interacting with other participants during the live sessions, receiving information about future events or initiatives).
You may withdraw your consent at any time where applicable. Withdrawing your consent without detriment will be as easy as giving your consent.
We use your Personal Data to:
- Fulfill a contract with you: to manage your registration and participation to the trainings, including your user account, provide access to e-learning content and support, process payments securely;
- Manage the ITA trainings provided via the Platform (legitimate interest, consent when required): to communicate important updates, manage trainings’ logistics, conduct optional survey or feedback requests and maintain internal records and analytics;
- Future communications (consent when required): where you have provided your consent, we may send you information about future events, initiatives and other ITA activities;
- Facilitate networking between participants (consent): where you have agreed, we may include your name with other participants for networking purposes.
Any Personal Data you submit will be retained by the ITA for as long as you use the Services and Systems provided on the Platform and for as long as necessary for the organization of the trainings and related follow-up activities, in accordance with our legal and regulatory obligations. After this period, we will take the necessary steps to delete your Personal Data.
We may share your Personal Data with trusted third parties strictly for the purposes listed above, including:
- Payment processors (for secure transactions)
- Learning management service providers (e.g., LearnWorlds)
- IT and system administration providers
- Analytics and communication tools
Your Personal Data may be transferred outside of Switzerland or the EEA (European Economic Area). In such cases, we ensure that appropriate safeguards are in place.
As detailed above, the ITA may, from time to time, employ the services of other parties for dealing with matters that may include, but are not limited to, payment handling, delivery of purchased courses, search engine facilities, advertising and marketing. Any Personal Data used by such parties is used only to the extent required by them to perform the services that the ITA requests.
You have the right to:
- Access your personal data and receive a copy of your personal data undergoing processing;
- Request correction or deletion of inaccurate or outdated data;
- Object to (for example when we are using your Personal Data for direct marketing purposes) or restrict processing;
- Withdraw consent where applicable (including future communications or participants’ names for networking purposes, without affecting the lawfulness of processing based on the consent before its withdrawal);
- Receive your data in a structured, commonly-used and machine-readable format (data portability)
- Lodge a complaint with a supervisory authority (e.g., the FDPIC in Switzerland or relevant EU authority)

Data security is of great importance to the ITA and to protect your Personal Data we have put in place suitable physical, technical and organizational measures to safeguard and secure Personal Data collected online.
The ITA reserves the right to change this Notice as we may deem necessary from time to time or as may be required by law. Any changes will be immediately posted on the Web Site and the ITA will endeavor to inform you accordingly.
